Rescheduling, Cancellation & Refund Policy

Rescheduling Policy
While you may have the ability to reschedule sessions at any time via your client portal, we kindly ask that you use this option sparingly and only when necessary. Consistency is essential for language acquisition, and minimizing schedule changes supports steady progress and a more effective coaching experience.

Reschedules must be made at least 24 hours in advance of the scheduled session time.

Late reschedule requests (within 24 hours) or no-shows will be considered completed sessions and not eligible for rescheduling or refund.

Excessive rescheduling (more than 2 sessions per package) may result in loss of scheduling privileges or forfeiture of sessions, at the coach’s discretion.
Cancellation Policy

If you decide to cancel your entire coaching package, please notify us via email.

Cancellation requests must be made within 24 hours of completing the first session to qualify for a full refund (see Refund Policy).

After this window, a partial refund may be available (see Refund Policy).
Refund Policy
We stand by the value of our coaching but understand that life happens. Here’s how refunds work:

Full Refund

If you attend your first session and decide it’s not the right fit, you may request a 100% refund within 24 hours of Session 1.
Partial Refund

If you've completed 2 to 5 sessions, you are eligible for a partial refund based on unused sessions minus a 20% administrative fee (to cover processing, scheduling, and preparation time).

Refunds will not be issued for cancellations after Session 5.
No Refunds

No refunds are available once more than 50% of the program (i.e., 6 or more sessions) have been completed.

No refunds for missed or no-show sessions.

Additional Notes

Each coaching program package (10 one-hour sessions) is valid for 100 days from the date of purchase.
If multiple packages are purchased at once, all sessions—regardless of the number of packages—must be used within the same 100-day period. The expiration window does not reset or extend with additional purchases.
Unused sessions will expire after 100 days and are non-refundable and non-transferable. This policy encourages consistent progress and helps ensure availability for all clients.

Refunds are processed within 7-10 business days to the original payment method.

Session Recording & Promotional Use Consent
By participating in this coaching program, you acknowledge and agree that all sessions (individual or group) may be recorded for quality assurance, training, and promotional purposes.
By joining the program, you give Haku Spanish permission to use parts or full recordings of our sessions (video, audio, or transcripts) to help promote or share our work — whether through marketing, advertising, or educational content.
Please note: No personally identifiable or sensitive information — including but not limited to full names, email addresses, physical addresses, contact details, or private personal history — will be disclosed or shared publicly in any form. Any identifying information will be removed or anonymized prior to any public use.
By enrolling in the program, you confirm that you understand and consent to this policy.
